POSITION SUMMARY:

This position provides support in the development, coordination and maintenance of AARP’s Records and Information Management (RIM) Program.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Assists with providing guidance pertaining to the management of electronic records, transition from paper to electronic records, planning of annual electronic records review and inventory, reviewing and maintaining records retention schedule, and participation in annual compliance self-audit.
  • Handle various administrative tasks, such as scheduling meetings, preparing and distributing documents, managing correspondence, and tracking key RIM activities and projects.
  • Support monitoring and tracking compliance by maintaining a master spreadsheet to oversee key RIM activities implemented by designated staff, helping to report the status of projects and the overall program.
  • Assist with organizing, developing, and implementing multiple projects related to the archive vault collections, including assisting RIM Director with incorporating archives requirements and records into AARP cloud environment
  • Assist with conducting research related to archive collections.
  • Assist with developing procedures manual and access policy, as well as procedures for accessioning historical materials, archival arrangement and description, and access.
  • Coordinate all records storage and retrieval requests, completes documentation and transfer/retrieval of files to the on-site Archive or off-site commercial records center.
  • Oversee all communications with employees regarding record storage boxes eligible for purging, including follow-ups and tracking compliance.
  • •Manage all employee offboarding communications, including follow-ups, reviewing offboarding documentation from employees, and tracking compliance.

EDUCATION, EXPERIENCE & SKILLS REQUIRED:

  • High School diploma or equivalent
  • Experience with electronic records
  • 1 – 3 years of experience in the field or in a related area
  • Attention to detail of work
  • Ability to work in a fast-paced environment on multiple projects without losing focus.
  • Proficient in using Microsoft Excel, Word and PowerPoint
  • Experienced using Adobe acrobat pro and document scanning applications. Equipment & Lifting
